About the Role:
The Logistics Officer performs a broad range of secretarial functions and logistical assistance support to the RYCO leadership and RYCO staff, notably the Secretary General (SG) and the Deputy Secretary General (DSG), thus contributing to the efficient operation of the organization, as detailed in the RYCO Strategic Plan, in regard to upholding the RYCO institutional and organizational excellence. All duties performed by the Logistics Officer must
be in line with RYCO’s internal rules and procedures. S/he is reporting to the Operations Manager.
Main Responsibilities:
Executive Support to SG and DSG
- Support the SG and DSG in managing calendars, scheduling meetings, coordinating appointments, and organising official local/international travel arrangements.
- Support the monitoring of SG/DSG absences, missions and public holidays for calendar and planning purposes, while official leave records remain managed by HR.
- Support communication and coordination between the SG/DSG and RYCO staff.
- Provide administrative and logistical support to the Senior Advisor to the SG.
- Assist in follow-up, coordination and preparation of materials related to leadership priorities, as assigned.
Meeting Preparation, Minutes and Reporting
- Draft meeting invitations, agendas, minutes and draft meeting reports for internal and external meetings, based on guidance and inputs received.
- Prepare meeting files, background documents and follow-up materials, as required.
- Maintain records of meetings, decisions and follow-up points, where assigned.
Governing Board and Advisory Board Support
- Support the organisation of Governing Board and Advisory Board meetings, including logistics, preparation and circulation of meeting materials, attendance records, minutes and draft meeting reports.
- Ensure timely circulation of relevant Board documentation to members, in coordination with responsible colleagues.
- Maintain electronic and paper filing systems for Board-related documentation.
Correspondence and Document Processing
- Assist in preparing and formatting correspondence, memoranda, notes, information circulars and other documents for review and approval by RYCO leadership.
- Check documents for completeness, formatting, routing and required attachments prior to submission for approval and signature.
- Maintain electronic and paper filing systems for leadership, meeting and administrative documentation.
Head Office Administration and Logistics
- Manage RYCO e-mail address,
- Coordinate administrative and logistical services for the Head Office.
- Provide general office support, including printing, scanning, data entry, preparation of files, and visitor support.
- Serve as contact point for routine office suppliers and service providers, including water, coffee, stationery, cleaning, mobile voice/data services, and similar services.
- Assist and support the overall administration of the RYCO Secretariat as required.
Procurement and Supplier Support
- Provide administrative support to procurement processes, including market research, collection of offers and preparation of purchase request documentation, under the guidance of the Procurement function.
- Support routine communication with suppliers and service providers in coordination with the relevant responsible colleagues.
